If there's one question we get asked more than almost any other, it's this one. And the honest answer is: probably earlier than you think.
Johannesburg has no shortage of event venues, but the good ones, the ones with the right capacity, the right location, the right facilities, get snapped up fast. We've seen clients come to us with a dream venue in mind and a date that's six weeks away, only to find it's already gone. It's a gutting situation, and almost always avoidable.
So here's a practical guide to how far in advance you should be thinking about your venue, broken down by event type.
Large conferences and multi-day events: 9 to 12 months out
If you're planning a conference for 200 or more people, or anything that spans multiple days, you should ideally be looking at venues a full year in advance. This isn't us being overcautious. Multi-day conferences require a lot of infrastructure from a venue, dedicated space for multiple days, breakout rooms, catering facilities, accommodation nearby or on site, AV infrastructure and these venues have limited availability at the best of times.
The September to December window is particularly brutal in Johannesburg. Year end functions, awards evenings, and conference season all collide, and venues book out months in advance. If your event falls in that window, start your venue search in January or February of the same year at the latest.
Medium sized events (50 to 200 guests): 4 to 6 months out
For a corporate dinner, product launch, team day, or mid-sized conference, four to six months is a reasonable runway. This gives you enough time to view multiple venues, negotiate terms, and start building the rest of your event plan around the confirmed space.
That said, if your event has specific requirements (a particular suburb, outdoor space, a venue with in house catering, a certain aesthetic), allow more time. The more specific your brief, the smaller your shortlist, and the faster those venues disappear.
Smaller events and boardroom functions (under 50 guests): 6 to 8 weeks out
Smaller events have more flexibility, but "last minute" is still relative. Six to eight weeks gives you time to confirm the space, sort catering, and make sure the basics are in place without rushing. Going shorter than four weeks starts to feel pressured, and you'll often pay a premium for it.
The dates that book out fastest in Johannesburg
Beyond sheer lead time, certain dates fill up faster than others. School holidays (especially June/July and December) affect availability because many venues do corporate and private events. Public holiday weekends are popular for team builds and activations. And as mentioned, September to December is the peak corporate season, so if your event lands in that period, earlier is always better.
What to do if your timeline is already short
It happens. A board decision gets made late, a budget gets approved at the last minute, a client brief lands on your desk three weeks before the preferred date. In these situations, flexibility is your best friend. Being open on date (even by a week or two) dramatically opens up your options. An experienced events team with strong venue relationships can also sometimes unlock availability that isn't visible through standard channels.
